There are many departments in the hotel such as : manager, sales and marketing, reception, account, housekeeping, …. but in many small hotels, the numner of departments is reduced ; a hotel staff can work many positions at the same time. Example : he (she) is not only a receptionist but also a saler.
A. LIST OF DEPARTMENTS
1. Sales & marketing Department
(Skip item 1 if have not separate sales department)
To install : MEMO Front Office
Number of installed PCs : 01 PC (at least).
PC Configuration : 500 GB or greater, 2 GB RAM or greater.
Number of printers : 01 private printer or using share printer.
2. Reception Department
To install : MEMO Front Office
Number of installed PCs : 01 PC (at least) ; 02 PCs (recommended).
PC Configuration : 500 GB or greater, 2 GB RAM or greater.
Number of printers : 01 printer.
3. HouseKeeping Department
(Skip item 3 in case of not using software in the housekeeping department)
Housekeeper can input minibar and laundry from PCs, laptops (option 1) or tablets, smartphones (option 2)
PC Configuration : 500 GB or greater, 2 GB RAM or greater.
4. Technical Department
(Skip item 4 in case of not using software in the kitchen department or have not technical department)
Number of installed PCs : 01 PC (at least).
PC Configuration : 500 GB or greater, 2 GB RAM or greater.
Number of printers : not require.
5. Accounting Department
To install : MEMO Front Office ; MEMO Point of sales
Number of installed PCs : 01 PC (at least).
PC Configuration : 500 GB or greater, 2 GB RAM or greater.
Number of printers : 01 private printer or using share printer.
6. POS Cashier Department
To install : MEMO Point of sales
Number of installed PCs : 01 PC (at least) per POS.
PC Configuration : 500 GB or greater, 2 GB RAM or greater.
Number of printers : 01 printer per POS (to print guest invoices).
7. Kitchen Department
(Skip item 7 in case of not using software in the kitchen department)
In the other cases, you can select one in two options :
Option 1 : to use bar printer and kitchen printer.
Option 2 : not to use bar printer and kitchen printer. To use tablet to view guest orders.
8. Manager Department
To install MEMO Front Office and MEMO Point of sales on manager PCS, laptops
or
To install MEMO web application on manager PCS, laptops, tablets, smartphones
Notes : For using MEMO remotely, you must have a static public IP. You can check this IP in hotel’s internet contract between hotel and provider such as VNPT/Viettel/CMC/FPT,…
B. SERVER (running 24/7)
Depend on hotel specifications, you can select one in two options :
Option 1 : buy new server for big and medium hotel (IBM server / Dell server … ; tower case)
Option 2 : buy new PC as server role for small hotel (4 GB RAM or greater)
