A. Why hotel-resort need the management software MEMO.FO ?

In the overall MEMO solution, the hotel and resort management software  is center role and the most important. Because:

In the following example:
– A hotel with 100 rooms, the average occupancy is 80% in 30 days
– All the guests stay one night, no day use guest,  no booking is cancel
– During stay, the guest arise average 10 transactions (room charge, minibar,laundry, tour, meal, …)

So :
– Number of guest folio after 30 days = 100 rooms x 30 days x 80% = 2400 (guest folio)
– Number of transaction arise after 30 days = 2400 guest folio x 10 = 24000 (transactions)

These are just the statistical data within 30 days, can see some of the main difficulties encountered when the hotel-resort has not used the hotel management software:

– Department units is operate independently, link through record of document or work directly, so it will take a lot of time and inevitable confusion, losses.

1. Information of hardware, computer, printer
a. Sales department (in case the hotel – resort has sales department. Note: Some hotels do not have sales department, reception staff can work as sales staff.In case the hotel does not have sales department, please skip this section)
– Number of computers : unlimited number of computers install MEMO software, at least 01 computer
– Computer system requirements : can use of computers and monitors available. In case of investment to buy new computer, hotel can choose computer with 500GB hard disk or more, 2 GB RAM or more.
– Number of printers : may or may not, in case no printer, can be shared printer with other departments such as reception, manager, accounting

b. Reception department
Number of computers : unlimited number of computers install MEMO software, at least 01 computer. However, the minimum number of computers should be 02 or more, in case one of the two computers is not available or in case of the hotel has many checkin / checkout
– Computer system requirements : can use of computers and monitors available. In case of investment to buy new computer, hotel can choose computer with 500GB hard disk or more, 2 GB RAM or more, high-resolution widescreen LCD (to display all rooms in the hotel on the screen)
– Number of printers : at least 01 (to print bills for the guests), A4 / A5 paper size or roll paper for thermal printer depends on management requirements.However, the hotel should use laser printer, A4 size paper to display more information on the guest’s bill.

c. Housekeeping department ( in case the hotel – resort has housekeeping department but do not use software, please skip this section)
Without software, after check the minibar and laundry in room, housekeeping must make a call on the radio, landline, or send a paper bill to the reception.Stock management is based on papers, ledger or from excel file.
In case of has software, housekeeping can input information (minibar, laundry) into the software on computer (option 1) or on tablet, smart phone (option 2).
Option 1 : At least 1 computer to install MEMO.FO software, no printer needed
Option 2 : Must have a tablet or smartphone – use MEMO-LINK software
– Computer system requirements : can use of computers and monitors available. In case of investment to buy new computer, hotel can choose computer with 500GB hard disk or more, 2 GB RAM or more

d. Technical department ( In case the hotel – resort has technical department. If not, or the technical department do not use software, please skip this section)
Without software, when have required repair, maintenanceor receive requests from guest, reception staff or housekeeping will make a call on the radio, landline or send the request form to the technical department.
In case of has software, reception, housekeeping can input requestsrepair into the software. Requests will be transferred to the monitoring screen of the technical, maintenance room.
– Number of computers : unlimited number of computers install MEMO software, at least 01 computer, no printer needed
– Computer system requirements : can use of computers and monitors available. In case of investment to buy new computer, hotel can choose computer with 500GB hard disk or more, 2 GB RAM or more

e. Accounting department (In case the hotel – resort has accounting department)
– Number of computers : unlimited number of computers install MEMO software, at least 01 computer
– Computer system requirements : can use of computers and monitors available. In case of investment to buy new computer, hotel can choose computer with 500GB hard disk or more, 2 GB RAM or more.
– Number of printers : may or may not, in case no printer, can be shared printer with other departments such as reception, manager. If using a printer, use a laser printer, A4 size paper.

f. Investor, board of directors
Investor, board of directors can be used simultaneouslyMEMO.FO software and restaurant software MEMO.POS,… is installed on the computer, laptop
or
MEMO-LINK software on the computer, laptop, tablet, smartphone(note: to use remote software, the hotel needs to have a static IP)

g. Server
It depends on the scale and specificity of each hotel, customer can choose one of the following :
Option 1 : for large scale hotel (many room, many staff use the software, many transaction)can buy 01 specialized servers ((IBM server / Dell server…)
Option 2 : for small scale hotel, seasonal operation or not much transactions can use a computer desktop is relatively good (PC) as the server
